Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be a strategic partner who can handle a wide range of administrative and executive support-related tasks and work independently with little or no supervision. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting a diverse workforce.
Key Responsibilities:
Executive Support:
Provide high-level administrative support to the executive team, managing schedules, appointments, and travel arrangements.
Prepare, edit, and distribute correspondence, communications, presentations, and other documents.
Conduct research, compile data, and prepare reports for consideration and presentation by executives.
Handle sensitive and confidential information with the utmost discretion.
Meeting and Event Coordination:
Coordinate and manage executive meetings, including preparing agendas, taking minutes, and ensuring follow-up actions are completed.
Plan and organize company events, meetings, and conferences.
Communication:
Serve as a liaison between the executives and internal/external stakeholders.
Manage incoming and outgoing communications, including phone calls, emails, and other correspondence.
Project Management:
Assist in the planning and execution of special projects and initiatives.
Monitor progress and ensure deadlines are met.
Administrative Duties:
Maintain office systems, including data management and filing.
Handle office supplies and inventory management.
Perform other administrative duties as required to support the executive team and ensure the smooth operation of the office.
Qualifications:
Education and Experience:
Bachelor's degree in Business Administration, Communications, or related field preferred.
Experience in managing multiple priorities and working under tight deadlines.
Skills and Competencies:
Exceptional organizational and time-management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to work independently and as part of a team.
High level of integrity and discretion in handling confidential information.
Strong attention to detail and problem-solving skills.
Ability to adapt to changing priorities and manage multiple tasks simultaneously.
