1. Cooperating with the manager and assisting with anything from project planning to staff management
2. Addressing any issues in a timely fashion
3. Supervising staff and controlling merchandise
4. Ensuring company policies and procedures are followed
5. Maintaining detailed records of personnel files and updating relevant data
6. Arranging domestic and international flights, transportation, and accommodation for directors & managers
7. Coordinating meetings, conference calls, and interviews
8. Preparing for board meetings, which include drafting agendas, gathering and printing all necessary documents, and organizing refreshments, staff appreciation functions, and other company events
9. Forwarding or replying to emails and correspondence addressed
10. Compiling and submitting expense reports to managers
11. Assisting with budget monitoring and payroll
12. Guiding the team in offer defense, the relevant storyline for proposal presentations, and participating in bid clarifications with the customer (as and when requested)
13. Assessing and addressing the technical and commercial risks relating to the bid they are working on
14. Managing the bidding process, forming consortiums with partner firms, preparing bid documents, and following up with clients/partners till bid submission
15. Typing and preparing all documents and correspondence, such as letters, reports, tenders, specifications, submission proposals, faxes, etc.
16. Working on the clarification of bid conditions and management of the tender preparation
17. Monitoring the bid management in order to ensure it is aligned with the organization's requirements
18. Working on the coordination of tender reviews and deadlines and adjusting them to the frameworks given by the customers
Skills & Requirements:
1. Any graduate with a hunger for learning
2. Experience in supporting the end-to-end bid management process for creating quality proposal documents prepared in response to formal RFP/RFQ/RFIs or informal business need requests
3. Experience managing a team of presales consultants/bid managers, mentoring/guiding the team on day-to-day activities, and bid allocations, and also working with senior leaders on the strategy front
4. Must ensure that a high quality competitive and compelling bid response is created and delivered to the customer
