Job Title: Sales Admin

Reporting to: Head Customer Excellence & Sales

Key Responsibilities:

- Phyzii Help Desk (CRM):
1. Coordinating with Phyzii team for system updates and resolution of field queries
2. Working on log-in ID creations for new joinees
3. Uploading doctor & chemist list as and when changes occur
4. Uploading HCP activities budget in Phyzii
- Managing HCP activities:
1. Tracking HCP marketing activities
2. Maintaining activity-wise budget v/s actual spend tracker
3. Preparing agreements and uploading them into the CLMS system
4. Working on doctor vendor creation in SAP
5. Working on claim settlement through the IPD system & sharing payment tracker with the sales team on a monthly basis
6. Working on follow-ups with ABMs for belief status of speakers & attendees of HCP activity, Omnicuris activity, etc.
7. Working on the provision of unsettled claims of HCP activities
- Samples & Reconciliation:
1. Preparing sample allocation for the sales team as per NSM's instruction & coordinating with SCM team for dispatches
2. Checking samples distributed by the sales team as per maximal norms & sharing the report with the team
3. Preparing sample monitoring reports & checking deviations of each BO on a quarterly basis
4. Sharing sample deviation report with the sales team seeking clarification & documentation of the same
5. Uploading HCP inputs in Phyzii, tracking expiry of inputs as per LMR ID
6. Working on TDS workings of distributed samples by HCPs & sharing it with the finance team
- Admin Support:
1. Maintaining headcount (vertical split) report of the sales team
2. Arranging visiting cards & working bags of the sales team
3. Working on hotel booking for the sales team for any meetings
4. Working on the dispatch of HCP-related inputs to the sales team by preparing gate passes, address format & checklist
5. Providing support in geo-tagging projects
- Trade Marketing Support:
1. Creating new trade marketing vendors in SAP
2. Raising trade marketing-related PR and follow-up for PO
3. Working on vendor invoice processing & follow-up for payment
4. Maintaining a tracker of trade marketing budget spend
5. Preparing trade marketing provision
- Other:
1. Keeping track of resigned employees' data for sampling, etc.
