Administrative secretaries are integral to maintaining smooth office operations by handling administrative and secretarial tasks. This role encompasses managing administrative needs, supporting management, and ensuring efficient office procedures. You're required to have strong organizational skills, attention to detail, and a passion for driving results in a dynamic and highly regulated industry.
Selected intern's day-to-day responsibilities include:
(a) Meetings & calendaring management:
1. Coordinate internal and external meetings, conference calls, and video calls.
2. Manage Outlook and Zoom for meeting scheduling and logistics, including catering arrangements.
3. Prioritize and manage Outlook calendars, ensuring schedule adherence.
4. Prepare and tidy conference rooms for meetings.
5. Respond to emails promptly.
(b) Travel & expenses:
1. Arrange domestic and international travel, including accommodations and visas.
2. Create detailed travel itineraries and assist with check-ins.
3. Monitor flight statuses and manage travel claims for senior management.
(c) Admin management:
1. Coordinate day-to-day office operations, including IT and facility needs.
2. Organize physical and digital documents.
3. Assist with SAP processes for procurement and vendor management.
4. Manage office supplies and support HR and Finance departments.
Additional information: This role is within a startup environment, requiring flexibility to collaborate with cross-functional teams and undertake additional tasks as required.

Qualifications:
1. Bachelor’s degree in business administration, communications, or a related field preferred.
2. Minimum of 1-4 years of experience in a similar role, preferably supporting senior executives.
3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
4. Strong organizational and multitasking abilities.
