About the job

Key responsibilities:

1. Asset inventory management:
i. Receive and verify company assets from exited team members, ensuring proper documentation and inventory updates.
ii. Track and manage all company assets (e.g., IT equipment, office furniture), ensuring accurate records are maintained.
iii. Facilitate the return and reassignment of assets, ensuring compliance with internal policies and processes.
2. Document handling:
i. Collect and verify documents from heads of departments and co-founders, ensuring all required paperwork is accurate and complete.
ii. Oversee the signing of documents, track signature progress, and ensure timely completion.
iii. Maintain secure and organized filing systems for all signed hard-copy documents and maintain confidentiality.
3. Signature and document management:
i. Coordinate the signing of various legal, financial, and operational documents across departments and with co-founders and the legal team.
ii. Ensure all documents are properly archived and easily accessible for reference or compliance purposes.
4. Guest house management:
i. Oversee the management and maintenance of the company's guest house, ensuring a clean, well-stocked, and comfortable environment for visiting guests.
ii. Coordinate with office staff and handle guest-related queries or requests.
5. KYC & DSC approval handling:
i. Assist in the KYC (know your customer) process, ensuring all relevant documentation is properly verified and submitted.
ii. Support the approval and management of digital signature certificates (DSC) for relevant stakeholders.
6. Courier and logistics management:
i. Coordinate courier services for dispatch and receipt of important documents and parcels.
ii. Maintain accurate records of courier transactions, including tracking, delivery status, and timely receipt.
7. Bank-related work management:
i. Support the finance team and co-founders in completing routine banking tasks, such as visiting the bank for specific transactions, managing documentation, and assisting with any banking-related queries.
8. Market visits & office space searching:
i. Conduct visits to local markets to source necessary office supplies, materials, or vendor-related services.
ii. Assist in researching and visiting potential new office spaces, conducting site assessments, and supporting lease negotiations.
9. Court visits & stamp paper collection:
i. Visit local courts to collect stamp papers and manage other legal documentation.

Other requirements

Qualifications & skills:

1. Experience: Proven experience in operations coordination, office administration, or asset management, freshers can also apply.

2. Education: Graduate in any discipline.

3. Technical skills: Proficiency in Google Suite (Docs, Sheets, Slides). Experience with asset & inventory management in Excel is a plus.

4. Communication skills: Good verbal and written communication skills, with the ability to interact effectively with a variety of stakeholders.

5. Organizational skills: Strong ability to manage multiple tasks and prioritize efficiently in a fast-paced work environment.

6. Attention to detail: High attention to detail with a focus on accuracy, particularly when managing documents and assets.

7. Problem-solving: Strong critical thinking and problem-solving abilities, with a proactive approach to identifying and resolving issues.

8. Trustworthiness: Ability to handle confidential information with integrity and discretion.

Additional requirements:

1. Willingness to travel for market visits, court visits, and other operational tasks.

2. Have own vehicle and valid driver’s license required for certain tasks (e.g., visiting marketplaces, collecting stamp papers).

3. A basic understanding of KYC, DSC processes, and bank-related administrative tasks is a plus.
