Administration Executive Job

The Parashars (Visa Consultancy Services) is seeking a highly organized and proactive 'Administrative Assistant' to provide comprehensive administrative support to the executive team and ensure the smooth visa filing operation at the office. The ideal candidate will be a resourceful individual with excellent communication skills, capable of managing multiple tasks efficiently in a fast-paced environment. This role is particularly critical in overseeing visa-related processes and ensuring clients receive timely and accurate support.

Key Responsibilities:

1. Conduct rigorous calls to clients for proper documentation and address related issues as guided by the case manager or management.
2. Resolve client queries via phone or email, ensuring prompt and accurate responses.
3. Counsel clients on the visa process, guiding them through documentation requirements and ensuring the timely preparation of files according to checklists.

5. Supervising the team of visa advisors for effective work.
6. Assigning work and daily tasks to the team of Visa advisors.
7. To maintain and update the checklist of countries.
8. Meeting quality expectations of clients.
9. Counseling the applicant with the documents required as per the requirements of the clients.
10. Preparing the file as per the checklist.
11. Guiding the clients with the visa process.
12. Follow up with the clients sending regular updates through constant research and tracking the changes with the embassy and consulate and intimating the same.
13. Preparing necessary documents about the particular visa; scrutinizing the correctness of the documents.
14. Taking corrective measures for Visa rejections/refusals and getting the Visa done in the subsequent submission.
15. Helping clients to get service faster and smoother.
16. Managing the CEO's calendar/meeting management.
17. Managing CEO's Hotel, travel ticketing and Visa.
18. Managing Office in the absence of CEO.
