About the job

Key responsibilities:

1. Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and preparing documents and presentations
2. Act as a point of contact between executives and internal/external stakeholders, handling correspondence, phone calls, and emails on behalf of the executives
3. Schedule, organize, and coordinate meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items
4. Arrange travel plans, itineraries, and accommodations for executives, ensuring all travel details are organized and communicated effectively
5. Prepare, review, and manage documents, reports, and presentations while maintaining confidential files and records
6. Assist in the planning and execution of projects by tracking progress, managing timelines, and ensuring deliverables are met
7. Conduct research on various topics as needed, providing summaries and reports to executives
8. Assist in budget preparation and expense tracking, processing expense reports and invoices
9. Oversee office supplies and equipment, manage vendor relationships, and ensure the office environment is well-maintained

Requirements:

1. Bachelor's degree in Business Administration, CA final dropout, or a related field preferred
2. Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role
3. Excellent organizational and time-management skills
4. Strong written and verbal communication skills
5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software
6. Ability to handle sensitive information with the highest degree of integrity and confidentiality
7. Strong problem-solving skills and the ability to work independently
8. Attention to detail and accuracy
9. Flexibility and adaptability to changing priorities and demands
10. Professional demeanor and appearance
11. High level of initiative and proactive approach to tasks
12. Ability to work under pressure and meet deadlines
