As an Administration Executive at Akribiz Business Solutions Private Limited, you will play a crucial role in ensuring smooth operations and efficient management of administrative tasks. Your proficiency in English, MS-Excel, MS-Office, and MS-PowerPoint will be essential in performing your duties effectively.
Key Responsibilities:
a. Facility Management (Office & Warehouse):
1. Manage the upkeep and maintenance of the 12000 sqft facility across 4 floors, ensuring cleanliness, safety, and efficient space utilization.
2. Oversee building maintenance activities, including repairs, electrical, plumbing, and general infrastructure.
3. Manage vendor coordination for facility services, including housekeeping, security, and equipment maintenance.
4. Ensure warehouse inventory management processes are followed, and stock levels are maintained with regular audits.
5. Monitor and manage the movement of goods between floors and warehouse sections.
6. Handle fire safety, health, and security compliance across the facility.
b. Administrative Operations:
1. Manage office supplies, pantry stock, and administrative inventory, ensuring timely procurement and replenishment.
2. Coordinate daily tasks and schedules for drivers, office boys, and housekeeping staff.
3. Handle incoming/outgoing correspondence, emails, phone calls, and ensure proper documentation.
4. Maintain physical and digital filing systems for administrative records and documents.
5. Organize and schedule meetings, conferences, and appointments for senior management.
6. Assist in preparing reports, presentations, and documentation using MS-Excel, MS-Word, and MS-PowerPoint.
7. Coordinate with vendors for office supplies, IT support, repairs, and maintenance requirements.
8. Oversee company vehicles' maintenance, fuel logs, insurance renewals, and repairs.
c. Senior Executive Support:
1. Provide day-to-day administrative assistance to senior management, including travel arrangements, accommodation booking, and follow-ups.
2. Maintain and track senior executives' daily schedules, reminders, and calendar management.
3. Assist in drafting and compiling documents, presentations, and data reports for senior executives.
4. Facilitate smooth communication between senior management and different departments.
d. Compliance & Process Adherence:
1. Ensure adherence to health, safety, and environmental standards in office and warehouse premises.
2. Maintain records of insurance, AMCs, vendor contracts, and licenses related to facility management.
3. Ensure all administrative processes are aligned with company policies and best practices.

5. Ability to multi-task and manage priorities effectively.
6. Vendor management and negotiation skills.
7. Understanding of basic building maintenance, safety norms, and compliance requirements.
8. Team handling experience for drivers, housekeeping staff, and office support personnel.
