We are seeking a proactive and forward-thinking 'AI-Enabled Executive Assistant' to join our team at URE Legal Advocates. In this role, you will blend the essential responsibilities of a traditional executive assistant such as managing emails, coordinating meetings, and handling personal and administrative tasks with cutting-edge AI and machine learning applications to optimize our legal services. This unique hybrid position requires someone who can seamlessly integrate technology into everyday workflows, ensuring efficiency and innovation at every turn.
Key Responsibilities:
1. Administrative Support & Coordination:
- Manage incoming and outgoing communications, including emails and phone calls, ensuring timely responses and effective prioritization.
- Organize and maintain the advocate's calendar, including scheduling meetings, court appearances, and personal appointments.
- Coordinate travel arrangements, both business and personal.
2. Court & Legal Assistance
- Assist with preparing and organizing documentation for court appearances.
- Follow up on legal filings, case statuses, and deadlines in collaboration with the legal team.
- Serve as a liaison between clients, colleagues, and the advocate to facilitate efficient case management.
3. AI-Driven Process Optimization
- Identify opportunities to implement AI solutions that streamline legal processes, from document review to scheduling.
- Collaborate with legal and administrative teams to integrate automation tools, reducing repetitive tasks and enhancing productivity.
- Conduct ongoing research on AI advancements relevant to legal practice, presenting actionable insights to the team.
4. Data Analysis & Insights
- Gather and analyze case-related data to uncover trends, improve decision-making, and optimize legal strategies.
- Leverage AI tools for data processing, ensuring accurate, real-time insights that support case development and client communication.
4. Compliance & Ethical Standards
-Monitor AI applications to guarantee they meet all legal and ethical regulations.
- Implement safety and privacy protocols when handling sensitive client information.
5. Innovation & Continuous Improvement
- Stay current with the latest AI and machine learning trends, identifying innovative approaches to enhance legal advocacy.
- Recommend new technologies and best practices to drive the firm's overall growth and success.
6. Training & Knowledge Sharing
- Train staff on the use of AI-driven tools and technologies, ensuring best practices and compliance with legal standards.
- Develop resource materials and guidelines to foster continuous learning and improvement across the organization.
Qualifications:
1. Proven experience as an executive assistant or similar role, preferably within a legal setting.
2. Familiarity with AI and machine learning concepts, with the ability to apply them to administrative and legal tasks.
3. Excellent organizational skills, with meticulous attention to detail in scheduling, document preparation, and task management.
4. Strong communication and interpersonal skills, capable of liaising with clients, court personnel, and internal teams effectively.
5. Ability to work under pressure, meet deadlines, and prioritize tasks in a fast-paced environment.
6. Understanding of ethical and regulatory considerations in the legal and AI domains.
