Event Management Specialist Job

Key Responsibilities:

1. Assist in planning and executing company events, product launches, previews, and client events
2. Coordinate all event logistics with internal teams and external vendors (venue, catering, AV equipment, transportation, etc.)
3. Develop event timelines and schedules, ensuring all deadlines are met
4. Prepare event materials, presentations, and signage as required
5. Liaise with vendors, suppliers, and venues to secure contracts and negotiate pricing
6. Oversee delivery of event materials and services in accordance with agreements
7. Assist in creating marketing materials for events, including digital and print assets
8. Help promote events through social media, email marketing, and internal communications
9. Monitor event attendance and respond to inquiries as needed
10. Assist in managing event budgets and tracking expenses to ensure cost-effectiveness
11. Prepare cost estimates and maintain accurate records of all event expenditures
12. Assist in event setup and management on the day, ensuring everything runs smoothly
13. Provide on-site support, overseeing the registration desk, managing event staff, and troubleshooting issues
14. Collect feedback from attendees and stakeholders to evaluate the success of the event
15. Assist in preparing post-event reports, summarizing key metrics (attendance, feedback, ROI)
16. Ensure post-event follow-up with attendees, sponsors, and partners
