About the job

Key responsibilities:

A. Executive assistance:

1. Manage executive calendars, schedule appointments, and coordinate meetings.
2. Prepare and organize materials for meetings, presentations, and reports.
3. Handle travel arrangements, accommodations, and itineraries for executives.
4. Screen and prioritize communications, including phone calls, emails, and messages.
5. Draft correspondence, memos, and other documents as needed.

B. Client relations:

1. Serve as the primary point of contact for key clients, maintaining strong relationships.
2. Address client inquiries and concerns, providing timely and effective solutions.
3. Schedule client meetings, follow up on action items, and ensure client satisfaction.
4. Collaborate with the sales and customer service teams to address client needs and ensure high levels of service delivery.
5. Prepare and manage client proposals, contracts, and other documentation.
6. Assist in organizing client events, webinars, and other engagement activities.

C. Administrative support:

1. Maintain organized filing systems and ensure that documents and records are properly managed.
2. Monitor project timelines and ensure deadlines are met.
3. Handle confidential information with discretion and professionalism.
4. Assist in preparation of budgets and manage expense reports.
