About the job

Key Responsibilities:

1. Reception Duties:
- Greet and welcome visitors, clients, and staff
- Manage the reception area to ensure it is tidy and presentable
2. Communication Management:
- Handle incoming and outgoing phone calls and emails
- Direct calls and messages to the appropriate departments or individuals
3. Appointment Scheduling:
- Manage and schedule appointments and meetings
- Coordinate and confirm meeting details with attendees
4. Administrative Support:
- Perform general office tasks such as filing, photocopying, and faxing
- Maintain and update office records and documentation
5. Customer Service:
- Address and resolve any inquiries or complaints from clients or visitors
- Provide information about the organization's services or policies
6. Office Coordination:
- Assist with office supply management and ordering
- Ensure that office equipment is functioning and arrange for repairs as needed
7. Data Entry:
- Enter and update information in databases or other systems
- Ensure accuracy and confidentiality of data
8. Billing and Bookkeeping:
- Handle basic billing tasks and process payments
- Maintain records of financial transactions and prepare reports as needed
9. Visitor Management:
- Issue visitor badges and ensure security protocols are followed
- Manage visitor logs and provide necessary access information
10. Event Coordination:
- Assist in organizing and coordinating office events or functions
- Handle logistics such as catering, seating arrangements, and supplies
11. Travel Arrangements:
- Book travel and accommodations for staff or executives
- Prepare itineraries and ensure travel arrangements are confirmed
12. Compliance and Procedures:
- Follow office policies and procedures to ensure compliance
- Keep up-to-date with any changes in policies or procedures
13. Support to Other Departments:
- Provide administrative support to other departments as needed
- Assist with special projects or tasks assigned by management
