About the job

We are in search of a proficient department secretary who offers extensive support to the chief digital officer This role necessitates a proactive and positive mindset, excellent communication abilities, and the capability to handle confidential matters with the utmost discretion

Key responsibilities:

1. Administrative support: Manage the CDO's Email calendar, including the scheduling of meetings using teams, and appointments, and arranging travel itineraries to facilitate optimal time management
2. Keep tabs on the meetings and remind the CDO, via email and WhatsApp and messages
3. Handle incoming and outgoing communications on behalf of the CDO, including managing emails, phone calls, and postal correspondence
4. Meeting coordination: Organize and coordinate meetings, setting agendas, recording minutes, and ensuring the CDO is well-prepared for each meeting
5. Manage technical setups for virtual meetings, presentations, and conferences, ensuring smooth operation
6. Document management: Draft, organize, and maintain documents and reports relevant to digital transformation initiatives and projects, ensuring accuracy and confidentiality
7. Oversee the secure storage and confidentiality of sensitive departmental and organizational information
8. Project support: Provide administrative support for the management and oversight of digital transformation projects, ensuring timely communication of updates and reports to the CDO
9. Assist with project-related administrative tasks, including documentation, compliance checks, and liaising with stakeholders
10. Stakeholder communication: Serve as the point of contact between the CDO and internal departments, external stakeholders, and partners, ensuring effective communication and collaboration
11. Support in the preparation of presentations, proposals, and reports for a diverse range of stakeholders
12. Event management: Coordinate departmental events such as workshops, training sessions, and team-building activities, aligning with the organization's goals and culture
13. Expense management and booking: Manage and reconcile the CDO's expenses
14. Book departmental GRN and invoices and manage financial transactions within the SAP system, maintaining accurate records and compliance with financial procedures

1. Working days: 5 days working
2. Office timing: Standard shift
3. Job location: BKC-Mumbai

Accounting English Proficiency (Spoken) English Proficiency (Written) MS-Office MS-Word

Who can apply

1. Candidates with minimum 1 years of experience.

Other requirements

1. Bachelor’s degree, B Com, BA, BBA, etc

2. Proven track record as an executive assistant, secretary, or in a similar Administrative role or IT department

3. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPointand familiarity with digital communication platforms (Zoom, Teams,)

4. Understanding and experience in using SAP or Tally for financial transactions and expense management

5. Exceptional organizational and time management skills, capable of prioritizing tasks and managing multiple deadlines simultaneously

6. Outstanding communication and interpersonal skills, able to interact effectively with all organizational levels

7. A high degree of discretion and confidentiality in handling sensitive information

8. capable of working independently and collaboratively, demonstrating initiative and Problem-solving abilities

Salary

Annual CTC: ₹ 3,00,000 - 5,00,000 /year
