About the job

We are seeking a detail-oriented and organized Back Office Executive to join our team. In this role, you will provide critical administrative and operational support to ensure the smooth functioning of our back office operations.

Key responsibilities:

1. Process and manage documents including invoices, purchase orders, and contracts
2. Update and maintain accurate databases
3. Handle customer inquiries and resolve complaints professionally.
4. Coordinate with other departments to ensure efficient workflow
5. Prepare reports, presentations, and correspondence
6. Manage physical and electronic files for easy retrieval
7. Assist in implementing company policies and procedures
8. Perform general administrative tasks like data entry, scheduling, and calendar management
9. Conduct market research and gather and analyze data
10. Assist with payroll, accounting, and finance activities
11. Provide support to sales team with lead generation, proposals, and contract negotiation.

Other requirements

1. Bachelors degree in business administration or related field

2. 2+ years of experience in a back office or administrative role

3. Proficiency in Microsoft Office (Word, Excel, PowerPoint)

4. Excellent organizational and time management abilities

5. Strong attention to detail and accuracy

6. Excellent written and verbal communication skills

7. Ability to multitask and prioritize effectively

8. Knowledge of accounting and bookkeeping processes a plus

9. Experience with CRM platforms preferred
