We are looking for a dynamic and organized Process Coordinator to join our team at Tibrewala Electronics Ltd (TIBCON). As a Process Coordinator, you will play a vital role in ensuring smooth operations within our company. Your proficiency in MS Excel and MS Office will be crucial in analyzing data and streamlining processes.
Key Responsibilities:
a. Workflow Management:
1. Oversee the daily workflow and productivity of employees.
2. Ensure that processes are being followed and work is being completed on time.
3. Identify bottlenecks and areas for improvement in the workflow.
b. Monitoring Employee Work:
1. Use FMS sheets to track
2. Ensure accuracy and timeliness in data entry and updates in FMS sheets
3. Generate regular reports on employee performance and process adherence
c. Issue Resolution:
1. Identify problems in the workflow and coordinate with department specific problem solvers to address and resolve issues promptly.
2. Maintain a log of issues and their resolutions to track recurring problems and their solutions.
d. Scheduling and Meetings:
1. Schedule regular meetings with the Managing Director (MD) to align employee work and discuss workflow improvements.
2. Prepare agendas, documents, and presentations for meetings.
3. Ensure follow up on action items discussed in meetings.
e. Communication and Coordination:
1. Act as a Coordinator between different departments to ensure smooth communication and coordination.
2. Ensure that all team members are informed about their responsibilities and deadlines.
f. Process Improvement:
1. Continuously analyze current processes and workflows to identify opportunities for improvement.
g. Documentation and Reporting:
1. Maintain comprehensive documentation of processes, workflows, and standard operating procedures (SOPs).
2. Prepare and present detailed reports on workflow performance, issues, and improvements to senior management.
3. Ensure that all documentation is up to date and easily accessible.
h. Risk Management:
1. Identify potential risks in workflows and processes.
2. Develop contingency plans to mitigate risks.
3. Monitor the effectiveness of risk management strategies and adjust them as necessary
